1.Manual Update of Buyer TIN

For small-scale updates, manually adding or editing TIN information is the most straightforward method.

Access Tax Entity Maintenance:

  • Navigate to Tax > Tax Entity Maintenance.
  • Add or edit the tax entity and select the appropriate category (Business, Individual, or Government).

Fill in the Required Fields:

  • Enter all details .
  • Complete all mandatory fields (marked with a red star *).

Link TIN to a Debtor:

  • Go to A/R > Debtor Maintenance.
  • Select the debtor, click Edit and enter the TIN.

2. Update Using AutoCount AIP Server

The AutoCount AIP Server allows you to search and retrieve TIN information from a centralized database shared among AutoCount users.

Search for Buyer Details:

  • Navigate to A/R > Debtor Maintenance.
  • Select the debtor, click Edit and click TIN from AIP Server.
  • Search by company name, business registration number (BRN), or TIN.

Add to Tax Entity

 If results are found, select the appropriate entry and click Add to Tax Entity. If not, proceed to batch generate request links.

3. Batch Generate Request Links

This method allows you to generate and send TIN request links in bulk, ideal for businesses with a large customer base.

3.1 Generate Request Link

Request Buyer TIN Information:

  • Use the Request Company Tax Information option to generate a TIN request link.
  • Share the link with the buyer to collect the necessary information.

Enable Buyer Link Verification:

  • Buyers can edit their submitted information through the link, but email verification ensures data accuracy.

Share Tax Information

Buyers can use the "Share Your Tax Info" option to allow other suppliers to view their details on the server. This saves time by reducing repeated submissions for different suppliers, provided they also use AutoCount.

Email Notifications for Updates:

  • Upon submission, buyers and you will receive an email notification with their updated information.
  • Use the Get TIN from AIP Server option to import the updated details into your system effortlessly.

3.2 Batch Generate Request Links

Configure Batch Option:

  • Click Find and then click Search to locate all debtor records.
  • Click Check All to select all relevant records for processing.
  • Click the Batch Get TIN interface.

Generate Request Links in Bulk:

  • Select buyers requiring updates by configure.
  • Click Generate Request Link and Send to send request links automatically to the buyers’ registered emails.

Retrieve and Update Buyer Information

Once buyers submit their details, click Retrieve and Update Tax Entity to import the information into the system.

4. Import Buyer TIN via Excel

For businesses managing extensive customer lists, importing TIN data via Excel ensures bulk updates are quick and accurate.

Import Data:

  • Format the file with required fields, ensuring all mandatory data is included.
  • Open Management Studio and navigate to Import > Stock Item Opening.
  • Use the Paste from Clipboard feature and click Import.

  • Check for any errors in the imported data. If errors occur, correct them and re-import the file.
