AutoCount Plugin: AutoCount Agent Validation Plugin User Guide
Understanding AutoCount Agent Validation Plugin
The AutoCount Agent Validation Plugin ensures that critical sales agent or purchase agent information is entered before a transaction can be saved. This enforces data integrity for sales and purchase documents — especially useful for companies that rely heavily on agents to track responsibility, performance, and accountability for each transaction.
What Is The AutoCount Agent Validation Plugin?
AutoCount Agent Validation Plugin
This plugin enhances your AutoCount Accounting system by requiring users to fill in designated agent fields before saving Sales or Purchase documents when selected in the settings. It prevents incomplete entries and ensures essential agent details are captured consistently.
Why It Matters?
Without validating agent information, data can become inconsistent, making it difficult to track sales performance, assign commissions, or generate accurate agent-linked reporting. This plugin helps businesses ensure that every relevant document includes the appropriate agent information before it’s saved, improving accuracy and accountability in daily operations.
Key Features & Capabilities
Mandatory Agent Info Enforcement
Ensures Sales and Purchase transactions cannot be saved without agent details if selected in plugin settings.
Configurable Document Validation
Choose which document types require agent info — sales, purchase, or both.
Improved Data Quality
Eliminates incomplete or missing agent data for downstream processes such as reporting and commission tracking.
Simple Setup & Control
Users can enable or disable validation requirements with a few clicks.
Setting Up the Agent Validation Plugin
Installing the Plug-In
- Go to Tools > Plug-In Manager in AutoCount.
- Click the Install button.
- Browse for the Agent Validation.app file.
- A window appears with plugin details.
- Click Install to proceed.
- When prompted, click Yes to confirm.
- A success message appears once installed correctly.
Assign Access Rights
- Go to General Maintenance > Access Right Maintenance.
- Expand SL Plug-In.
- Expand Agent Validation.
- Select Agent Validationand click Set Group Access Rights.
- In the pop-up, choose a user group (e.g., Admin).
- Change Don’t Change to Add.
- Click OK to save.
- Click Yes to apply to sub-commands.
Settings
- Go to Agent Validation > Settings.
- Tick the documents for which agent info is required:
• Tick — users must fill agent info before saving.
• Untick — agent info is not required. - Click OK to save.
How It Works in Practice
Sales & Purchase Documents (Validation Enforced)
Sales & Purchase Documents (Tick)
- When a document type is ticked in Settings:
• Sales document requires Sales Agent info.
• Purchase document requires Purchase Agent info. - If agent info is missing, an error prompt appears, preventing saving until completed.
Sales & Purchase Documents (No Tick)
- Documents that are not ticked do not require agent info.
- Users can save these documents without agent details.
Benefits of Using Agent Validation Plugin
Ensures Complete Transactions
Prevents saving of records without agent information, improving data accuracy.
Supports Sales Accountability
Helps track which agents are responsible for which sales or purchases, aiding commission or performance reports.
Reduces Data Errors
Because saving is blocked without required fields, fewer incomplete or incorrect records are created.
Easy Configuration
Admins can set requirements per document type without coding or complex setup.
Conclusion
The AutoCount Agent Validation Plugin ensures crucial agent details are never missed in key transactions. By making agent information mandatory where needed and optional where not, it enhances accuracy, supports better sales tracking, and enforces consistency in your accounting data capture.
