AutoCount- Filter By Account

How AutoCount Filter By Account Module Ensures Confidentiality in Payment Vouchers

In many companies, accounting departments have multiple employees processing similar tasks, such as payment vouchers. However, when it comes to sensitive financial information, such as the salaries of directors and staff,, requires restricted access to maintain confidentiality. Department heads often restrict access to such data, allowing only specific individuals to handle it. The Filter By Account Module offers a powerful solution to maintain confidentiality and control access to sensitive accounts. This article explores how the Filter By Account Module works in AutoCount. It helps organizations maintain security while allowing accounting teams to efficiently process payments for non-sensitive accounts.

What is the Filter By Account Module in AutoCount?

The Filter By Account Module in AutoCount is an advanced add-on feature that allows businesses to set permissions for users based on specific account types. It ensures that only authorized personnel can access and process certain sensitive accounts, while others can still carry out their tasks on non-sensitive accounts. Businesses particularly benefit when only a few individuals, such as department heads or administrators, handle confidential data, like salaries and other sensitive financial information.

Why Use the Filter By Account Module?

The Filter By Account Module is particularly beneficial for businesses that handle sensitive financial data, such as employee salaries, director bonuses, and other private financial information. Here’s why it’s an essential tool for many organizations:

How the Filter By Account Module Works

The Filter By Account Module in AutoCount allows the administrator to set specific permissions for each user, ensuring that they can access only the accounts that are relevant to their tasks. Here’s how it works:

1. Viewing Account Information Without Filters

  • The system allows employees to view all account information by default when no filters are applied.
  • This includes details for salaries, staff EPF, SOCSO, and related accounts in the Profit & Loss report.
  • Users can click on specific amounts to view detailed account data.

2. Configuring the Filter By Account

  • Go to General Maintenance > User Maintenance to add a new user (e.g., LOW) and set their password.
  • Assign the user to the appropriate user group (e.g., ADMINS) and enable the Filter By Account No option.
  • Click Maintain Account No to select which accounts to hide from the user and save the settings.

3. Logging In as the New User (LOW)

  • After configuring the filter, log in as the user (e.g., LOW).
  • Go to G/L > Cash Book Entry.
  • The system now hides payment vouchers related to salaries and commissions.
  • Ensuring only authorized users can access them.

  • Even though the system hides sensitive salary accounts in the payment vouchers. They will still appear in the Profit & Loss report.
  • However, when you click on the amount for salary or commission, the system will not show any detailed information related to these accounts.

4. Special Consideration for EPF and SOCSO Accounts

  • Salary payments are often recorded with EPF and SOCSO deductions in payment vouchers.
  • If only hide the salary account, and EPF / SOCSO accounts appear in the first line of the payment voucher, the system will not automatically hide the entire payment voucher.

  • In this case, users may still be able to view salary details by clicking on the corresponding EPF or SOCSO amounts in the Profit & Loss report.

5. Potential Workaround for Hidden Accounts

To fully protect sensitive salary information, you can address this issue in two ways:

Hide the Staff EPF & SOCSO Accounts

Along with the salary account, hide the EPF and SOCSO accounts to ensure that all related details remain confidential.

Ensure Salary Is Recorded First

Ensure to record the salary first when processing payment vouchers. Doing so makes the system hide the entire payment voucher if the salary account is at the top.

Best Practices for Using the Filter By Account Module

To get the most out of the Filter By Account Module, consider these best practices:

Regularly Review Account Permissions

Ensure that user permissions are regularly updated to reflect any changes in staff roles or responsibilities.

Hide All Related Accounts

When protecting sensitive data, ensure that all related accounts (such as EPF, SOCSO, and salary) are also hidden to avoid accidental leaks.

Keep Payment Vouchers Organized

When processing payment vouchers, ensure that sensitive accounts are recorded in a specific order (e.g., salary accounts first) to prevent accidental visibility of hidden data.
