AutoCount- Schedule Backup
This user guide provides step-by-step instructions for setting up and managing scheduled backups in AutoCount. The guide covers everything from initial configuration to troubleshooting backup issues, ensuring that your SQL database is securely backed up.
Introduction to AutoCount Schedule Backup
AutoCount Schedule Backup is a feature that automatically backs up your SQL database according to a predefined schedule. This is essential for ensuring data safety, preventing data loss, and ensuring you can recover data in case of system failure.
Purpose: The goal of this feature is to back up data frequently, which helps protect against any data-related issues.
Enabling Schedule Backup for AutoCount
To enable the schedule backup, locate the AutoCount Server Service in the Windows taskbar.
- Click on the upward-pointing arrow in the Windows taskbar (Show Hidden Icons).
- Right-click on AutoCount Server Service and select Schedule Backup Setting.
- The Backup Control Panel will open, which allows you to manage backup configurations.
Setting Up SMTP Configuration
SMTP (Simple Mail Transfer Protocol) allows AutoCount to send notifications via email regarding the success or failure of backups. Configuring SMTP is critical for keeping track of your backups.
- Before you set up a schedule backup, ensure your SMTP settings are configured.
- If not configured, AutoCount will display a notification: “SMTP Setting is not configured. Click here to configure.”
- Enter the necessary SMTP details, such as server address, port, and credentials.
- Test the SMTP configuration by sending a test email to verify settings
Configuring Backup Settings
Once inside the Backup Control Panel, you will need to configure several key settings:
Selecting Server Name
- Click on Get Available Servers to see a list of available servers.
- Select your server from the list.
Adding Address Book (Database)
- Under the Address Book section, select the database(s) that you want to back up on a schedule.
- Make sure you choose the correct databases to ensure that important data is backed up.
Setting the Backup Directory & File Prefix
- Backup Directory: Choose the folder where the backup files will be saved.
- Backup File Prefix: Set a unique prefix to help identify your backup files. This is useful when managing multiple backup files.
- Password: Set a password for your backup files to ensure security.
Scheduling Backup Date, Time, and Frequency
Setting up when and how often backups occur is essential for keeping your data up-to-date.
- Set the start date and time for the backup process to begin.
- Choose how often backups should repeat: daily, weekly, monthly, etc.
- Consider how much data changes in your organization to determine an appropriate backup frequency.
Managing Backup Files with Backup File Control
Backup File Control allows you to manage the number of backup files AutoCount retains, preventing excess storage usage.
- Enable Backup File Control to limit the number of backup files stored.
- Set the number of backup files to keep. For example, if set to 5, once the 6th backup is created, the oldest backup will be deleted.
- This feature helps manage storage space efficiently.
Restarting the Service
Once your backup configurations are complete, it’s important to restart the AutoCount service to ensure all settings are applied.
- After saving your settings, close the Backup Control Panel.
- Restart the AutoCount service by going to the AutoCount Server Service in the taskbar and selecting Restart.
- This step is necessary to activate the new backup schedule.
Setting Up FTP for Backup
FTP (File Transfer Protocol) allows you to transfer backups to a remote server, providing an additional layer of security by storing backups off-site.
- Go to the FTP tab within the Backup Control Panel.
- Check the box labeled Upload to FTP.
- Enter the required FTP server details, such as FTP address, username, and password.
- Specify the destination directory on the FTP server for storing backup files.
- Save the settings to enable FTP backup.
Troubleshooting Common Issues
Best Practices for Backup Management
-
Test Your Backups Regularly
Periodically test the backup files by restoring them to ensure they work properly.
-
Use External or Cloud Storage
Store your backup files on an external drive or a secure cloud service to protect against local hardware failure.
-
Monitor Storage Space
Regularly monitor storage usage and adjust the number of retained backups accordingly.
