Understanding Project Department Visibility Control Plugin

The AutoCount Project Department Visibility Control Plugin helps businesses control user access to Projects and Departments across documents and reports. Administrators can assign access rights, configure visibility rules, restrict users to assigned Project and Department values, control Payment Voucher detail visibility, and ensure restricted reports display only the information each user is authorized to view.

How AutoCount Project Department Visibility Control Plugin Works

1. Access Rights

An administrator assigns Project Department Visibility Control rights before a user can configure restrictions, maintain assignments, or use related document functions.

  1. Open Access Rights and expand SL Plugin > Project Department Visibility Control.
  1. Assign Maintain Project/Department User Assignments to users who maintain individual user scopes.
  2. Assign Maintain Project/Department Visibility Options to users who configure global restriction behavior.
  3. Assign Allow Delete When Document Details Are Hidden, Allow Drill-down From Full-Amount Reports, and Payment Voucher rights only when each action is required.

  4. For Payment Voucher, assign Show Payment Method When Details Are Hidden – View or Edit only for the corresponding authorized workflow.

2. Configure Visibility Options

Visibility Options defines the global behavior for restricted users. The options apply after the user has a Project/Department assignment.

2.1 Set document and report visibility

  1. Open Project Department Visibility Control > Project/Department Visibility Options.
  1. Select Apply Project/Department restrictions to Invoice, Delivery Order and other Sales and Purchase document screens when restrictions must also apply to New, Edit, and View document screens.
  2. Choose one What can restricted users see? mode: show assigned rows in reports and documents; show full report amounts with no drill-down; or show full report amounts with drill-down for authorized users.
  3. Select Allow transactions without Project for all users or Allow transactions without Department for all users only when blank dimensions should be permitted for every restricted user.

  4. Select Enable red indicator when document details are hidden when users need a warning on a mixed document, then click OK.

3. Maintain User Project and Department Assignments

Project/Department User Assignments defines the values that each restricted user can select and view.

  1. Open Project Department Visibility Control > Project/Department User Assignments.
  1. Select a user in the list. Click View to review assignments, or click Edit to change them.
  1. Select the Project values that the user may access.
  2. Select the Department values that the user may access.
  1. Save the assignment changes. Use Refresh to reload the user list when required.

4. Work with Restricted Documents

When document restrictions are enabled, supported Sales and Purchase document screens limit Project and Department selection to the user scope. Restricted detail rows are hidden and displayed totals include only visible rows.

4.1 Create or edit a document

  1. Sign in as a restricted user and open a supported Sales or Purchase document.
  1. Add or edit a detail line.
  2. Open the Project and Department selectors and choose from the assigned values.
  1. Save the document. A Project or Department outside the user scope cannot be used.

4.2 View a mixed document

  1. Open a document containing both assigned and unassigned Project or Department rows.
  1. Review the detail grid. Only the rows within the user scope are shown.
  2. Review totals. The displayed totals reflect the rows that remain visible.
  3. If the red indicator option is enabled, review the warning that document details are hidden.
  4. Delete is blocked when hidden details exist unless Allow Delete When Document Details Are Hidden has been granted.
  • This is the restricted document for the USER1.
  • This invoice is allowed for the USER1.

5. Payment Voucher Detail Visibility

For mixed Payment Voucher documents, the Payment Method grid is controlled separately when document details are hidden.

  1. Open a mixed Payment Voucher document as a restricted user.
  1. Review the document details available within the assigned Project and Department scope.

6. Run Restricted Reports

The plugin restricts Project and Department selectors and report results to the applicable user scope. Report behavior follows the selected visibility mode.

  1. Open a supported report or inquiry screen.
  1. Open the Project or Department selector and choose the permitted value or values. Values outside the user scope are not available.
  1. Run Preview and review the results.
