Understanding Stock Availability Report Plugin

The AutoCount Stock Availability Report Plugin helps businesses monitor stock quantities across selected stock locations with flexible filtering and reporting options. Users can manage default stock locations, enhance item search with real-time stock balance lookup, customize lookup layouts, and control Multi-Dimensional Sales Analysis options through role-based access rights.

How AutoCount Stock Availability Report Plugin Works

A. Access Rights

Administratorscontrolwhocanopenthereport,maintainuserdefaultlocationsanduseselectedanalysis options.

  1. Open General Maintenance> Access Right Maintenance.

  1. Select the user or user group, then expand SL Plug-In > Stock Availability Report.

  2. Assign Show Stock Availability Report to users who need to open the report.

  3. Assign Show User Default Setting to users who maintain user locations. Assign User follow User Default Setting to users whose report must follow those saved locations.

  4. Assign Can Edit Multi Dimensional Sales Analysis Data Area Options when the user may use the related sales-analysis data options. Show License Status controls the License Info menu.

  5. The standard View Cost right controls the Show cost option and cost fields. Standard Customize Grid Layout and Grid Column Chooser rights control Item Code lookup layout functions.

  1. Save the access-right changes.

B. Stock Availability Report

Stock Availability Report shows stock quantities by item and selected stock locations.

  1. Open Stock Availability Report > Stock Availability Report.
  1. Set the Date and Stock Item. Click More Option when more filters are required.
  2. Select one or more Stock Location rows. Use All to tick or untick all locations currently shown to the user.
  1. Click Inquiry to load the stock availability result.
  1. Review the result. Click Preview or Print when required. Use Hide Options to give more space to the result grid.

C. Filter and Report Options

More Option opens the detailed filters and report options used by Stock Availability Report.

  1. Under Filter 1, set Date, Stock Item, Stock Group, Stock Item Type, Batch Options, Print Active Item and Print Inactive Item as required.
  1. Under Filter 2, set Stock Brand, Stock Category and Stock Class when required.
  2. Under Report Options, choose Group By and whether to Show Criteria In Report.
  3. Under Other Options, choose the zero-balance rule, Include No Transaction Item(s), Use Desc For Header, Show cost, Include Outstanding SO & PO, Include Consignment and UOM Option as required.
  1. Batch Options are available with the item-batch module. UOM Option is available with the multi-UOM module. Show cost is available only when the user has the standard View Cost right.
  1. Click Inquiry again after changing the criteria.

D. User Default Setting

User Default Setting maintains the stock locations assigned to each active user.

  1. Open Stock Availability Report > User Default Setting.
  1. Select an active user. Click Edit to maintain locations, or View to open the setting as read-only.
  2. Tick the locations allowed for the user. Use Check All or Uncheck All when required.
  3. Click Save. The selected locations are stored for that user.
  4. When User follow User Default Setting is assigned, Stock Availability Report only loads the user’s allowed locations. If no location is saved, HQ is used when HQ exists.

E. Enhanced Item Search Lookup

The plugin enhances the Item Code lookup so users can check stock balance while entering supported documents.

  1. Open a Quotation, Sales Order, Delivery Order, Invoice, Stock Transfer, Purchase Return or Consignment document.
  1. Open the Item Code lookup. The lookup shows Item Code and Description. When quantity display is enabled, it also shows Balance Qty and the current-location Bal. Qty.
  1. If the Consignment module is enabled, CSGN Qty and On Hand Qty are also available in the lookup.
  2. When the document location changes, the current-location balance column refreshes to follow the new location.
  1. Select the required item to continue the document entry.

F. Lookup Layout Management

The enhanced Item Code lookup supports saved layouts for users who have the standard AutoCount grid-layout rights.

  1. Right-click inside the Item Code lookup grid to open the layout commands.
  2. Choose Save Layout, enter a layout name and tick Save As Default when required.
  3. Choose Load Layout to apply a saved layout. The selected layout is assigned to the current logged-in user.
  1. Choose Reset Layout to restore the default lookup layout and clear the current user’s saved layout assignment.
  1. Choose Layout Manager to set a layout as default, delete a layout or assign layouts to users. Click Save Assignments after changing user assignments.

G. Multi-Dimensional Sales Analysis Options

The plugin can restrict selected data-area options in the standard Multi-Dimensional Sales Analysis screen.

  1. Open the standard Multi-Dimensional Sales Analysis screen.
  2. Users with Can Edit Multi Dimensional Sales Analysis Data Area Options can use the related data-area options normally.
  1. Without this access right, Show Local SubTotal, Show Local Total Cost, Show Local Profit, Show Profit Margin, Show Unit Price and Show Unit Cost are unchecked and disabled.
  1. Run the analysis using the options available to the user.
