How AutoCount Sales Commission Plugin Works

A. Access Rights

SL Sales Commission registers its own access right group so that an administrator can decide which user may see and use each function. The access rights are created when the plugin is loaded, under SL Plug-In > Sales Commission Module.

 

For every function, the Show right decides whether the menu command appears for the user, and the Open right decides whether the screen can be opened. Commission Plan and Commission Team also have New, Edit and Delete rights that control those buttons inside the screen, and Sales Commission Report has separate Preview and Print rights.

 

The following rights are available under SL Plug-In > Sales Commission Module.

Commission Plan - Show Commission Plan, Open Commission Plan, New Commission Plan, Edit Commission Plan, Delete Commission Plan.

Commission Team - Show Commission Team, Open Commission Team, New Commission Team, Edit Commission Team, Delete Commission Team.

My Commission Report - Show My Commission Report, Open My Commission Report.

User Sales Agent Setup - Show User Sales Agent Setup, Open User Sales Agent Setup, Edit User Sales Agent Setup.

Sales Commission Report - Show Sales Commission Report, Open Sales Commission Report, Preview Sales Commission Report, Print Sales Commission Report.

Assign the rights to a user as follows.

  1. Log in to AutoCount as a user who is allowed to maintain access rights.
  2. Open the user access right maintenance screen and select the user or user role to change.
  3. Expand SL Plug-In, then expand Sales Commission Module.
  4. Tick the Show and Open rights for each function the user needs, then tick New, Edit, Delete, Preview or Print where those actions are required.
  5. Save the access rights and ask the user to log in again.

The user now sees only the SLSalesCommission commands that were granted. When a user without the New, Edit or Delete right clicks that button, AutoCount blocks the action and the record is not changed.

B. How SL Sales Commission Works

All functions are opened from the SLSalesCommission main menu in AutoCount. The menu contains My Commission Report, Sales Commission Report, Commission Plan, User Sales Agent Setup, Commission Team, Commission Simulator, Multi Dimensional Sales Commission and License Info.

 

A Commission Plan is the centre of the module. It records who receives commission, whether commission is calculated By Sales Document or By Item, and when commission is released – on each payment received (Partial Payment), only after the invoice is fully paid (Full Payment), or
immediately from the sales document (By Sales). A plan may also carry a sales target, an entitlement table, extra bonus rules and payment timing rules.

 

Sales Agents are attached to a plan individually, or through a Commission Team so that every member of the team follows the same plan. Once plans are in place :

Sales Commission Report calculates and prints commission for a date range.

Multi Dimensional Sales Commission analyses the same commission figures in a pivot layout.

Commission Simulator explains the commission of one selected document.

My Commission Report lets each salesperson review only their own commission.

C. Commission Plan

Menu path: SLSalesCommission > Commission Plan

Commission Plan maintains every commission rule used by the module. The browse screen lists the existing plans with their Commission Plan name, Payment Type, Commission Calculation Type and Active status.

 

C.1 Browse Commission Plans

  1. Open SLSalesCommission > Commission Plan.
  2. Review the plan list. Tick Show Linked Plans to also display the Recipient and Parent Plan Key columns, which identify team leader plans linked to a main plan.
  3. Click Refresh (F5) after another user changes a plan.

Use New (Insert) to create a plan, Edit (F2) or a double-click to open the focused plan, and Delete (Delete) to remove it. A plan that is already used by other records cannot be deleted, and the message The Commission Plan cannot be deleted, because it has been linked by others table is shown.

 C.2 Commission Plan Entry Screen

Commission Plan entry is arranged as eight numbered steps. Work through the steps from left to right and click Save Plan (F3) when the plan is complete, or Cancel to close without saving. Steps that do not apply to the selected calculation type are disabled.

  1. Setup – who receives commission, how it is calculated and when it is paid.
  2. Item Commission – commission rate for each Item and UOM. Available when commission is calculated By Item.
  3. Sales Commission – commission rate by sales document total. Available when commission is calculated By Sales Document.
  4. Payout Threshold – sales target, target amounts and how sales count toward the target.
  5. Commission Entitlement – how period sales change the entitled commission.
  6. Extra Bonus – additional commission for higher sales or for item quantity.
  7. Payment Rules – how customer payment days and early payment change the commission.
  8. Review – the finished plan explained in plain language.

 

C.2.1 Step 1 – Setup

Step 1 records the identity of the plan and the three main decisions.

  1. Enter Plan Name and keep Active ticked so the plan can be used.
  2. Under Who Gets Commission?, select one or more Sales Agents who are entitled to receive commission.
  3. Under Calculate Achievement By, tick Individual Sales or Team Sales. When Team Sales is selected, choose the Commission Team.
  4. Under Calculate Commission By, choose By Sales Document to calculate once for the whole document, or By Item to calculate from item detail and item rate. Click the ? button for the builtin explanation.
  5. Under When to Pay Commission?, choose Partial Payment to release commission on each payment or knock-off, Full Payment to release only when the invoice is fully paid, or By Sales to release by invoice date and ignore payment status. Click the ? button for the built-in explanation
  6. Under Agent Source, select the field that supplies the sales agent. Sales Agent and the Invoice Sales Agent UDF choices are loaded from the current account book.

Changing Calculate Commission By enables Step 2 Item Commission or Step 3 Sales Commission and disables the other one.

C.2.2 Step 2 – Item Commission

Step 2 is enabled when Calculate Commission By is By Item. It sets one commission rate for each Item and UOM, or for a whole classification.

  1. Open tab 2. Item Commission.
  2. Select the filter tab that matches the rule you want: Item, Item Type, Item Group, Item Brand, Item Class or Item Category.
  3. Choose one or more filter values, then click Inquiry to list the matching rows.
  4. Enter the rate in the Commission Rate (Amount / %) column of each row. Enter an amount such as 10 or a percentage such as 2%.
  5. To fill many rows at once, select the rows, click Select All if required, then click Range Set, enter the rate and click Apply.

Future items that match a classification rule are included automatically. The most specific rule applies and rules never stack.

C.2.3 Step 3 – Sales Commission

Step 3 is enabled when Calculate Commission By is By Sales Document. Commission is set according to the total sales in the sales document.

  1. Open tab 3. Sales Commission.
  2. Click Add to insert a rate row.
  3. In Sales Below RM, enter the upper limit of the band.
  4. In Commission % or Amount, enter the commission for that band, for example 1.5% or 150.00.
  5. Repeat for each band, and use Delete to remove a row that is no longer needed.

C.2.4 Step 4 – Payout Threshold

Step 4 defines the sales target and the commission paid when the target is reached. It contains three sub tabs: Threshold, Sales Target and Achievement.

  1. Open tab 4. Payout Threshold
  2.  Select Threshold Type. Flat Rate means reach this target, get this amount. Prorate means how much target you reach, that much commission you get. The description below the field confirms the selected behaviour.
  3. Enter Commission at 100% Target (OTC), which is the commission paid when the target is fully reached.
  4. On the Threshold sub tab, use Add Commission Level and Delete Commission Level to build the Target Completion (%) and Commission Amount rows. Add Highest and Above adds the final open-ended level.
  5. On the Sales Target sub tab, enter the Sales Target amount for each Target Period.
  6. On the Achievement sub tab, choose the measure, apply the item filters if only certain items count, click Inquiry, then enter the Achievement percentage for each Item Code and Base UOM. Use Select All and Range Set to fill many rows, and Undo or Redo to step back through changes.

An achievement of 100% counts the full eligible sale toward the target. Use the filters only when different items should count differently.

C.2.5 Step 5 – Commission Entitlement

Step 5 reduces or increases the commission the salesperson is entitled to keep, based on the sales collected in the entitlement period.

  1. Open tab 5. Commission Entitlement.
  2. Select Entitlement Period.
  3. In Commission Entitlement Rules, click Add to insert a row.
  4. Enter Period Sales for the upper limit of the band and Entitlement Rate for the percentage of commission entitled in that band.
  5. Use Delete to remove a row.

C.2.6 Step 6 – Extra Bonus

Step 6 adds extra commission on top of the calculated commission.

  1. Open tab 6. Extra Bonus.
  2. Select Bonus Based On to decide what the bonus is measured against.
  3. In the Extra Bonus group, click Add and enter Sales Reached and Extra Bonus (By % or By Amount). Type 1% for a percentage or a fixed RM amount.
  4. In the Item Quantity Extra Bonus group, click Select to open Select Item Quantity Bonus Rules, choose an Item or a classification, then click OK.
  5. For each selected rule, enter Quantity Required and Extra Bonus (By % or By Amount).
  6. Tick Use only the highest matched Extra Bonus row when only one bonus row should apply.

Future active items that match a classification rule are included automatically. The most specific rule applies and rules never stack.

C.2.7 Step 7 – Payment Rules

Step 7 adjusts the commission according to how quickly the customer pays. The tab is not used when commission is paid as soon as the sale is made; saved payment settings are kept and become available again if When to Pay Commission? is changed.

  1. Open tab 7. Payment Rules.
  2. In Customer Payment Days, click Add and enter the Last Day of the band and the Commission Paid value. The Payment Days column and the Meaning column are filled automatically. 100% means full commission and a lower percentage reduces the commission paid.
  3. In Early Payment Bonus, click Add and enter Last Early Day and Extra Bonus to give extra commission when the customer pays before the due date.
  4. Under Other Payment Settings, tick Exclude Credit Note to leave credit notes out of the calculation, and tick Count collection days from Due Date (untick = Invoice Date) to measure collection days from the due date instead of the invoice date.
  5. Use Delete to remove a row, and Undo or Redo to step back through changes.

C.2.8 Step 8 – Review and Save

Step 8 shows the complete plan in plain language before it is saved. The review flow runs through 1. BASE COMMISSION, 2. SALES TARGET, 3. TARGET COMMISSION, 4. EXTRA BONUS, 5. PAYMENT RULES and 6. FINAL COMMISSION, and marks each block as Used or Not Used so that unused rules are easy to spot.

  1. Open tab 8. Review.
  2. Read the Plan Explanation and confirm that every block marked Used is intended.
  3. Return to an earlier step to correct anything that is wrong.
  4. Click Save Plan, or press F3, to save the plan and close the screen.

If a required value is missing, the plan is not saved and AutoCount shows the reason. Correct the highlighted value and save again.

D. Commission Team

Menu path: SLSalesCommission > Commission Team

A Commission Team groups sales agents so that a plan assigned to the team applies to every member. The browse screen lists Team Name, Description, Team Leader, Members and Active.

 

D.1 Create or Edit a Commission Team

  1. Open SLSalesCommission > Commission Team.
  2. Click New (Insert) to create a team, or select a team and click Edit (F2) or double-click the row.
  3. Enter Team Name and Description, and keep Active ticked.
  4. Select the Team Leader.
  5. In the member grid, tick Select for each Sales Agent who belongs to the team. The Current Team column shows the team the agent belongs to today.
  6. Use Select All to tick every agent who is free or already in this team, and Clear All to untick all rows.
  7. Click Save, or press F3, to save the team.

Click Delete (Delete) on the browse screen to remove a team, and Refresh (F5) to reload the list.

D.2 Commission Team on the Sales Agent Record

The plugin adds a Commission Team field to Sales Agent maintenance so the team can also be recorded on the agent.

  1. Open Sales Agent maintenance in AutoCount and edit the sales agent.
  2. Enter the Commission Team name exactly as it is maintained in Commission Team.
  3. Save the sales agent.

If the entered team does not exist, AutoCount blocks the save and shows Commission Team [team name] does not exist. Please select the team in Commission Team maintenance. Create the team first, then save the sales agent again.

E. User Sales Agent Setup

Menu path: SLSalesCommission >User Sales Agent Setup

User Sales Agent Setup links an AutoCount login user to one or more Sales Agents. My Commission Report uses this link to decide which commission the logged-in user may see, so every salesperson who needs My Commission Report must be mapped here. The browse screen lists User ID, User Name, Sales Agent and Sales Agent Name.

  1. Open SLSalesCommission > User Sales Agent Setup.
  2. Click New (Insert) to create a mapping, or select a row and click Edit (F2) or double-click the row.
  3. Select the User ID.
  4. In the grid, tick Select for each Sales Agent that belongs to this user.
  5. Use Select &All to tick every sales agent and &Unselect All to clear the selection.
  6. Click Save, then click Close.

Use Delete on the browse screen to remove a mapping. AutoCount asks Do you want to remove Sales Agent [code] from Login User [user]? before the row is deleted. Click Refresh (F5) to reload the list.

F. Sales Commission Report

Menu path: SLSalesCommission > Sales Commission Report

Sales Commission Report calculates the commission earned for a date range and shows it as a master and detail result that can be previewed, printed and exported.

 

F.1 Run the Report

  1. Open SLSalesCommission > Sales Commission Report. The Date Range defaults to the current month.
  2. Under Filter Options, set the Date Range from and to dates.
  3. Select the Sales Agent to report on, or leave the selection empty to include all agents.
  4. Select the Commission Plan, or keep No filter to include every plan. When a plan is selected, the report follows that plan’s payment type, calculation type and formulas.
  5. Under Report Options, set Detail Sort by and Sub-Detail Sort by.
  6. Under Other Options, tick Show zero commission to keep rows with no commission, tick Use Due Date For Collection Days to count collection days from the due date, and tick Show Criteria In Report to print the selected criteria on the report.
  7. Click &Inquiry, or press F9, to calculate.

F.2 Read the Result

The Result area is a master and detail grid. The top level lists each Sales Agent with Total Sales, Agent Total Collection and Total Earned Commission. Expanding an agent shows the sales documents, and each sales document can be expanded into three views.

  • Credit Note Detail – the credit notes applied to the document, with CN Doc No, Date and CN Amount.
  • Payment Detail – the payments knocked off against the document, with Payment Doc No, Knock Off Date, Payment Amount, Pay Days, Early Days, Early Incentive Rate, Early Payment Incentive and Earned Commission.
  • Item Detail – the item lines, with Item Code, Qty, UOM, Unit Price, Sub Total, Net Profit, Profit Margin (%) and the commission amount.

Click Hide &Options, or press F6, to collapse the criteria panel and give the result more space. Click Export to save the result grid to Excel.

 

F.3 Preview, Print and Design

  1. Click Preview, or press F8, to open the printable report. The Preview Sales Commission Report access right is required.
  2. Click Print, or press F7, to print the report. The Print Sales Commission Report access right is required.
  3. Use Report Options to change the standard report settings before printing.
  4. Use Design Sales Commission Report to open the report designer for the current layout.

The plugin ships four report layouts and selects the matching one automatically from the payment type and calculation type of the result: 

Sales Commission By Payment and Sales Document, Sales Commission By Payment and Item, Sales Commission By Sales and Sales Document, and Sales Commission By Sales and Item.

Click &Close, or press Esc, to close the screen.

G. My Commission Report

Menu path: SLSalesCommission > My Commission Report

My Commission Report lets a salesperson review only their own commission. The screen reads the sales agents mapped to the logged-in user in User Sales Agent Setup, so the user cannot see the commission of another agent.

G.1 Inquire My Commission

  1. Open SLSalesCommission > My Commission Report. The screen inquires the current year automatically.
  2. Check that User and Sales Agent show the logged-in user and the mapped sales agents.
  3. Select the Year to review.
  4. Click Inquiry (F9) to refresh the result.

The summary lists one row for each Month with Target, Achieved, Target Reached and Commission. Quarterly and yearly targets appear only in their natural evaluation period-end month.

If the login user is not mapped to a sales agent, the screen shows Login User [user] is not mapped to any Sales Agent. Ask an administrator to maintain User Sales Agent Setup. The same message style is used when the user or the mapped sales agent is inactive or has been removed.

G.2 Open the Monthly Detail

  1. In the summary grid, click the Details link of the month to review.
  2. In My Commission Details, review each document with its Date, Document No, Customer, Plan, Item, Qty, UOM, Target Measure, Status, Commission, Pending Commission and Potential Commission.
  3. Read Document Explanation for the reason behind the commission of the focused row.
  4. Double-click a row to open the related sales document in AutoCount.
  5. Press Esc to close the detail screen.

Invoice, Debit Note, Cash Sale, Credit Note and Delivery Order documents can be opened from the detail grid. Any other document type shows The related sales document type is not supported.

H. Multi Dimensional Sales Commission

Menu path: SLSalesCommission > Multi Dimensional Sales Commission

This screen analyses the same commission figures as the Sales Commission Report in a pivot layout, so commission can be compared by agent, plan, customer, item and period.

H.1 Set the Criteria and Inquire

  1. Open SLSalesCommission > Multi Dimensional Sales Commission. The Date Range defaults to the current month.
  2. On the Master Filter tab, set the Date Range, select the Sales Agent, and select the
    Commission Plan, Payment Type, Agent Source, Release Status and Commission Status filters. Keep No filter where no restriction is needed.
  3. On the Detail Filter 1 tab, select the Item Code, Item Type and Item Group filters.
  4. On the Detail Filter 2 tab, select the Item Brand, Item Class and Item Category filters. This tab appears only when the Advanced Item module is enabled.
  5. Click &Inquiry to load the result into the pivot area.

H.2 Arrange the Pivot Result

Drag a field into the row, column or filter area to change the analysis. Available fields include Sales Agent, Commission Team, Commission Plan, Payment Type, Agent Source, Release Status, Commission Status, Debtor Code, Company Name, Doc No, Doc Date, Due Date, Payment Date, Full Payment Date, Overdue Days, Year, Month and the item fields.

  • Data Area Options – tick Show Quantity, Show Unit Price, Show SubTotal, Show Local SubTotal, Show Unit Cost, Show Local Total Cost, Show Local Profit, Show Profit Margin and Show Credit Note Amount to add or remove value columns.
  • Set Sorting and Top Value Count – opens the Sort and Top Value Setting dialog where each visible field can be given a Sort On field and a Top Value Count. Click &OK to apply.
  • Layout – use Load Default Layout to return to the standard arrangement, Save Layout To File to keep the current arrangement and Load Layout From File to restore a saved one.
  • Hide &Options – collapses the criteria panel so the pivot area is larger.

Double-click a value cell to open Multi Dimensional Sales Commission Detail, which lists the documents behind that cell.

 

H.3 Preview and Export

  1. Click &Preview to open the printable pivot report. 
  2. Use Export to save the result as Microsoft Excel, Microsoft Excel 97-2003, PDF, RTF, MHT or Text.
  3. Click &Close to close the screen.

When the result contains more than 10,000 cells, AutoCount asks The report contains more than 10,000 cells and may take longer to preview or export. Do you want to continue? Click Yes to proceed.

 

I. Commission Simulator

Menu path: SLSalesCommission > Commission Simulator

Commission Simulator calculates the commission of one selected document against one commission plan and explains the result step by step. Use it to check a plan before it is used, or to explain why a document earned a particular commission.

  1. Open SLSalesCommission > Commission Simulator. The Document Date range defaults to the first day of the current month up to today.
  2. Under Basic Filter, set the Document Date range, select the Sales Agent and enter the Document No if a specific document is needed.
  3. Click &Inquiry, or press F9, to list the matching documents with Doc Type, Doc No, Doc Date, Customer Code, Customer Name, Sales Agent, Currency, Net Amount and Outstanding.
  4. Tick Select on the one document to simulate. Only one document can be selected at a time.

Simulate the selected document and read the result as follows.

  1. Under Simulation Options, select the Commission Plan to test.
  2. Click &Simulate, or press F8.
  3. In Commission Simulation Result, read the Simulation Summary for the simulated commission amount, the status and the released and pending split.
  4. Review Document and Calculation Inputs for the Document, Document Date, Customer, Sales Agent, Commission Plan, Sales Amount, Cost, Gross Profit / GP % and Collection / Days used in the calculation.
  5. Open Calculation Breakdown to see each rule in Sequence with its Rule, Status, Rate, Amount and Reason.
  6. Open Calculation Trace for the full calculation text.
  7. Open Why Commission Is RM0.00, or Qualification Notes when commission was earned, for the Requirement, Actual, How To Qualify and Impact of each unmet condition.
  8. Click &Close to return to the document list. If no plan is selected, the message Select a Commission Plan. is shown. If no document is ticked, the message Select one document from the grid. is shown.

J. Commission Settings in AutoCount Screens

The plugin adds a small number of commission fields to the standard AutoCount screens so that individual items and document lines can be excluded from the commission report.

 

J.1 Show In Comm. Report on Item and Item Group

A Show In Comm. Report field is added to Item maintenance and to Item Group maintenance. It is ticked by default, which means the item is included in commission.

  1. Open Item maintenance in AutoCount and edit the item.
  2. Untick Show In Comm. Report to leave the item out of the commission report, or keep it ticked to include the item.
  3. Save the item.

To change a whole group at once, edit the Item Group and set Show In Comm. Report there. After saving, AutoCount asks Do you want update result to all item? Click Yes to copy the new setting to every item in that group, or No to keep the item settings unchanged.

J.2 Show In Comm. Report on Sales Document Details

The same Show In Comm. Report field is added to the detail lines of Invoice, Cash Sale, Debit Note and Credit Note. The column is hidden in the detail grid by default and is available from the grid customization list.

  1. Open an Invoice, Cash Sale, Debit Note or Credit Note entry screen.
  2. Open the grid customization list of the detail grid and drag Show In Comm. Report into the grid.
  3. Untick the field on a detail line to leave that line out of the commission report.
  4. Save the document.

On Invoice entry, selecting an Item Code copies the Show In Comm. Report value from the item, so the line starts with the setting maintained on the item.

 

J.3 OR No. on AR Credit Note

An OR No. field is added to AR Credit Note so the official receipt number can be recorded with the credit note.

  1. Open AR Credit Note in AutoCount and edit the credit note.
  2. Enter the receipt number in OR No.
  3. Save the credit note.
